Managing Your Students in Slate.org

Slate.org can help you manage your students in many ways. This article describes how to use Slate.org to do some of them, such as inviting students to Slate.org, communicating with them, and updating their records.

Inviting Students to Slate.org

Counselors can invite students to create a Slate.org account. The Students section of Slate.org provides a listing of students whose information has been either shared by colleges and universities or entered manually. The account status column indicates if a student has a Slate.org student account. If one of your students does not have an active Slate.org account, you can invite them to join.

  1. Select Students in the left-side navigation bar.
  2. Select the student's name to access their record.
  3. Select the Send Invitation link.
  4. Select Invite to send an email invitation to Slate.org.

A Slate.org student account invitation cannot be sent more than once in a 24 hour period. Up to three reminders can be sent within a 7-day window.

Invitation Process Example

When an email communication is sent to a student who does not have an existing Slate.org account:

The student receives an invitation to register by clicking a link that opens the Slate.org website.

When the student clicks the link, they are directed to a prefilled account-creation form that includes their information.

Once the student creates an account, they can manage their profile and see the active counselors in Slate.org.

Messaging Students

Adding an email address to a student record:

  1. Click Students in the left-side navigation bar. An All Students list appears.
  2. Click the student's name.
  3. In the Student Details area, click the pencil icon (  ) to edit their record. An Edit Student popup appears.

  1. Enter the address in the Email Address field.
  2. Click Save.

  1. Click Students in the left-side navigation bar. An All Students list appears.
  2. Click the student's name.
  3. Click the address link under Email Address . The Send Message email editor appears.
  4. Compose the email as desired.
  5. Click Send.

Downloading and Exporting Student Data

Required Permissions

Slate.org can export student and application data in spreadsheet format, but doing so requires the  user to have the proper permission. Refer to the Add, Edit, and Inactivate a User Account section of the Managing the Profile Tab Knowledge Base article.

Exporting Student Data

To export student data from Slate.org:

  1. Select Students from the left-side navigation bar.
  2. Select the list to export, whether from All Students, a personal list, or a shared list.
  1. To narrow the results of the selected list, click the Filter icon.
  2. Select the options required to narrow results as desired. Options include Graduation Year, Applications (Show All, Has Shared Applications, or No Shared Applications), and Slate.org Account Status (Show All, Active, Active - Independently Counseled, Invited, and Inactive).
  3. Click Apply Filters.
  4. Click Download to Excel at top right. A new tab opens and a system dialog prompts you to save the file.

Exporting Application Data

To export application data from Slate.org:

  1. Select Applications from the Slate navigation bar.
  2. Select the list to export, whether from All Students, a personal list, or a shared list.
  3. Click Download to Excel. A new tab opens and a system dialog prompts you to save the file. 

Updating Student Records

School counselors can verify and update the academic profiles of students in Slate.org. Students can grant independent counselors and community-based organizations read-only access to their academic and application information. 

Important!

Academic profile data can only be updated by a student's secondary school counselor. If you have an independent counselor or CBO counselor account and a student has granted you access to their record, the student's academic information will be in read-only format.

Accessing and Editing School Records

Help keep everyone on the same page by updating school record data for your students in Slate.org. Students can also self-report information that can later by verified by their counselors. This information may be shared with colleges and universities. 

  1. Click Students to access your student list.
  2. Click on an student record and go to Edit Record.
  3. Click on the School Record tab in the Edit Student pop-up window.
  4. Update the school data and Save.

Self-Reported Data

When students update their academic profile in Slate.org, the data will appear as self-reported. This information can later be verified by their school counselor.
