Importing Data from the Universal College Application

Article Summary

ApplicationsOnline generates daily Universal College Application (UCA) data files through an automated process. Once downloaded, these files will automatically be loaded into Upload Dataset in Slate.

The processes through which the data and files are imported are very similar to how the data is imported from The Common Application, so you will find it beneficial to review the concepts outlined in the documentation covering The Common Application, including how to configure remap settings in Format Definitions, how to import data that creates an application, how to append values so that they can be pre-mapped, and how to test your mappings before loading data into your production instance.

Source Formats

There are source formats available in the Slate Template Library that can be added to your instance that will enable you to import the data and PDFs created by UCA:

  • UCA Application Supplement

  • UCA Applications

  • UCA Payments

  • UCA Prospects

  • UCA Recommendations

  • UCA School Report

  • UCA Midyear Report

  • UCA Final Report

  • UCA Materials

The source formats will all have standard items pre-mapped. As with other standard source formats, you are encouraged to customize the mappings to meet your needs.

An application-scoped unique ID will need to be created in your instance with the ID uca_id.  This ID will be used to import the data files as well as associate the PDF materials to the corresponding application record.

Testing the Remap Settings

When you are satisfied with your mappings, launch (or refresh) your test instance and activate the source formats in that environment (by updating the Remap Active setting to Active in the Source Formats tool). If you need to change any mappings, make those changes in production, then refresh your test environment, and activate the source formats in the test environment again. If everything imported as expected, activate the source formats in production. Note: Materials will not be imported into your test environment.
